As I prep, I like to hop on Pinterest and peruse the possible color schemes/party themes to pick from. I like to write down any ideas that come to me about decor or food in the Brainstorming section of the free Party Planner.

There is also a spot for writing down the Date of the party. In the planning stages, I don’t always have the date nailed down since I need to confer with the guests/guest of honor. So, once a date is set, I write it down so I don’t forget what we agreed upon.

Eventually, I narrow down the Theme, decor, and menu by looking at my planner timeline and figuring out what I have time to accomplish. Once I have done that, I add to the other sections – the Menu, the To Do/To Make, the Groceries, etc.

The Guest List is crucial to figuring out your menu! How many portions of each item will you need to make or buy? How many food items are doable with your timeline or with the week you have planned the week of the party? Sometimes these parties fall around the holidays when everything is crazy busy and there are a million other things to do on top of planning a party for someone! There’s a neat little ✔ spot, so you can mark off when people have RSVP’d to keep a running total of guests.

Once you have most of your RSVP‘s, you can plan your Grocery list with a little bit more clarity. But let’s face it, people forget to RSVP, quite often. Depending on the size of the party, I usually assume that 5% will not come even after RSVP (due to illness or other) and that 10% will come without an RSVP.

I really love homemade decor to some extent. You know, add some crafty up in there! I use my Cricut for every party. So, there is a section for things To Do/To Make so you can keep track of the items you plan on decorating with, borrowing from friends for the party, etc.

This section also has a spot to write when you would like to have each detail, craft or errand completed by. So that you can stay on top of your tasks!

Sometimes when I get in the full on party planning mode, I kind of space off purchasing gifts, because my mind is focused on the party – which is obviously a huge part of the gift too! So there is a Gift/Game Prizes section for adding any gifts needed for birthday parties, Bachelorette parties, etc. Also, the game prizes are good for baby and wedding showers.

Keep You on Schedule

The free Party Planning Schedule is on an additional sheet. This way, you can keep track of how far out you need to complete each task, such as sending invites (5-6 weeks out, if you’re wondering). This starts out at the six week mark and then goes up to the day before the party.

In a different section on this same page, you will find an hourly Day Of Schedule. The hours in this section aren’t labeled so that you can enter the hours yourself. You will see them like this :00. So that you can enter in the hour for all of your day of activities, such as making menu items, setting out food, set table, etc.!

Added bonus, this page has a section for adding your additional thoughts. So you can keep track of anything else you may need to remember.
